Challenge
We Will Go is an NGO running volunteer-driven community programs funded by donors. Its operations depend heavily on efficient volunteer onboarding, structured program scheduling, and proactive donor engagement. Accurate data and timely communication are critical for the organization to maintain program quality and long-term impact.
To manage growing operations, We Will Go partnered with BytePX Technologies to transition away from manual data entry and disconnected tools, implementing native Salesforce automation.
Prior to the solution, manual processes for volunteer onboarding, scheduling, and donor follow-ups were creating operational bottlenecks.
Manual Volunteer Data Handling: Reliance on Excel-based entry caused frequent data errors and processing delays.
Delayed Onboarding: Volunteers often waited days to start contributing, reducing early engagement and satisfaction.
Poor Donor Tracking: Missed or reactive donor interactions impacted retention and ongoing relationship-building.
Operational Overhead: Staff spent valuable time on repetitive administrative work instead of core mission initiatives.
The organization needed a faster, error-free, and scalable digital infrastructure to streamline these critical workflows.
Solution
A phased, automation-first approach was executed to replace legacy manual steps with native Salesforce capabilities. The implementation focused on building scalable, real-time, and reusable automation components.
Volunteer Onboarding & Portal: Built real-time volunteer onboarding using Salesforce Experience Cloud and Lightning Components to eliminate deduplication issues and speed up engagement.
Automated Program Scheduling: Leveraged the Program Management Module (PMM) to automate scheduling and ensure consistent program delivery.
Targeted Donor Engagement: Deployed Record-Triggered and Scheduled Flows in Salesforce Flow to automatically trigger timely donor follow-ups and communication.
Centralized Reporting: Configured PMM reports and custom dashboards for end-to-end visibility across volunteers, contacts, and opportunities.

"The team was exceptional in understanding the requirements, developing the solution well in time. Very good experience we had with BytePX."
